The Hall of State at Fair Park - Decorations Policy
Delivery must be scheduled one week in advance. Deliveries must be made to the rear or side of the building. Deliveries are not allowed to come though the ceremonial entrance or front colonnades. Trucks must unload and move immediately.
All decorations shall be placed on tables or free standing supports. No decorative items, or their supports may be attached to or supported by the original furniture, art, or architectural elements. Existing floral, plant material or any other decoration may not be moved, altered or adjusted without prior written permission.
The following items are not allowed in the Hall of State: nails, tacks, screws, staples, glitter, paint, markers, tape other than gaffers tape, or glue. Helium-filled balloons, loose marbles, roller skates, bicycles, confetti, rice, birdseed, stickers, silly string and crepe paper are not allowed.
Flowers must be arranged before being brought to the Hall of State unless special floor covering is used to prevent staining and slipping on the floors. Flowers and any other type of vegetation shall be free of all pests. Hay bales must be artificial. No plant material with decorative berries, dyed materials that are not contained or other vegetation with staining qualities shall be a part of any floral decoration.
Animals are not allowed inside the building. Exceptions to this rule are trained dogs providing disability assistance and trained dogs working with licensed security personnel.
Materials providing smoke or other potentially hazardous conditions are prohibited. Items that may not be used inside the building include all tobacco products, cooking equipment, smoke producing machines, pyrotechnics, and explosives. Smokeless and dripless Paradise tapers, votive candles and Sterno fuel are allowed.
All ultraviolet-producing light sources must have UV filters. When utilizing incandescent light sources that will be producing extreme heat levels, you will need to provide a supplemental cooling system, such as a fan. Supplemental light sources must be free-standing. Lighting standards, grids, and beams should at no time be attached to the building's surfaces. Lighting standards must be stabilized with weights and have rubber gaskets to protect the floor surface. Please avoid pin spot illumination on paintings, textiles, photographs, leather, hides, etc. Artificial illumination directed at the murals, wooden furniture, or upholstery should not exceed 4200 degrees K or 15 foot-candles.
Decorations may not be loaded-in until the specified rental start time. All decorations must be fully loaded-out within one hour immediately following the event, unless prior approval has been granted by the Rental Dept.
Renter assumes all responsibility for damages should any violations of the guidelines shown in "Rules for the preservation, Care, and Use of the Hall of State" or damages assure, the party responsible will be fined two (2) times the direct cost of repairs in addition to a $ 500.00 historic preservation fine. This historic preservation fine will be charged to both the party responsible for the damage and the Renter.
PLEASE PROVIDE A COPY OF THIS DOCUMENT TO YOUR FLORIST, DECORATOR, CATERER, LIGHTING CONTRACTOR, AND ENTERTAINMENT.
The event will not be allowed to proceed if there are any violations of this policy. Vendors who violate these policies will not be allowed to return to the Hall of State.
